ANNUAL MEETING
December 16, 2020
The meeting was called to order by Liz Devall our Association Manager from Century 21 North Homes Realty at 6:30pm via Zoom. The role was called; we had proxy forms from the Feuerborns (9 rentals), the Murrays, the Fentons, and present at the meeting were Ben Bunker (president), Harman BeBajwa (property officer), John and Nadine Walsworth (secretary/treasurer), Randy and Cheril Whitaker, Brooke Nawaya, and Cameron Stone. Quorum established.
John Walsworth presented the Financial Report which included summaries of three documents: Budget Profit & Loss by Range for 2020, Yearly Income Statement from 01/01/2020 to 11/30/2020 (what we actually received and spent), and the Budget Profit and Loss for Fiscal Year 2021. These are attachments to these minutes. This year we have a budget deficit of over $3000 dollars due to the common area drainage project, mailbox replacement, and high landscape costs. According to Liz Duvall we will have a $2779 surplus in the 2021 budget. This will be due to a reduced insurance premium ($182), a $450 fee waived for our annual meeting, and our monthly landscape reduced by 54% (about $5500/year). And lastly, we have a balance of $21,195.40 in our account.
Ben Bunker gave the Projects Report for this year. The largest project was to correct the drainage problem in the wetland that allowed runoff water and ice to flow over the adjacent sidewalk. The new drain has worked well to divert this water into the existing drain created for the pond. Another project was to remove a junk pile that was left by the original builder plus wood left after a fence was demolished. We had five street trees that were severally distressed this summer. One was removed and the others were watered by volunteers using “Gators”.
The last project was to evaluate the fences facing Kent Kangley highway. We spoke to the occupants and described the conditions to be repaired. Through Century 21 we issued written warnings to the ones that did not fix the problem.
Ben also described some projects to be completed next year. There is one more pile in the wetland that needs disposal; the estimate is about $400. The CRYSTAL FIRS sign that was run down and broken is a project that needed to wait until next year due to finances. We talked with a couple contractors. We hope to get the project completed for about $4000 or less. The next project on the list is the strip between where the street trees are planted. We are getting estimates from our new landscape service on something more permanent than the beauty bark that we installed this summer. One suggestion was using river rock between the street trees. The last item that the board looks forward to next year is planning some neighborhood social activities. It has been on everyone’s wish list for too many months.
The homeowners voted on two items:
- The 2021 proposed budget. Passed unanimously
- New Officers. Harmon Bajaw requested to go off the board. Earlier this year Whitney dropped off the board due to work constraints. We thank them both for their service.
Brooke Nawaya agreed to serve on the board in the Secretary role and Randy Whitaker in the Property Officer role. Ben Bunker will continue as President and John Walsworth will stay as Treasurer. These passed unanimously.
The meeting concluded with an open floor time of comments and questions covering a variety of topics including street trees, the Crystal Firs sign, and how costs are shared (or not) on common fences.
The Board wishes to thank Liz Devall for her time and her team’s work on our behalf this past year and also thanks for those who attended and participated in the meeting. We adjourned about 7:30
